Credit Card Statement to Excel Without Retyping 300 Transactions
Card statements are the worst layout in finance: merchant names that wrap onto three lines, foreign-currency amounts with a second converted figure, credits mixed with purchases, and reward summaries that look like transactions. The conversion has to keep the row boundaries straight before any analysis means anything.

Where card statement conversions break
Merchant names spanning three lines
A single purchase becomes three rows: the merchant, the city, and the reference number. Totals then double.
Payments counted as income
A payment to the card is a credit. If the sign is dropped, your spending analysis shows a phantom income line.
Foreign currency double-counting
The original amount and the converted amount both land in the amount column, so the month total is inflated.
Rewards blocks parsed as spending
"Points earned this period" and category summaries are not transactions, but they parse like them.
Year-boundary statements
A statement period that crosses December 31 splits into two tax years — the wrong one changes your expense totals.
Scanned or photographed bills
Paper statements from a bank branch are images; text extraction returns nothing at all.
What a usable card ledger looks like
- One row per transaction — merchant, transaction date, posted date, amount, and a sign that means something.
- Separate debit and credit columns so payments and refunds never silently net against purchases.
- A total that ties to the statement’s own "total purchases" and "total payments" lines.
- Clean merchant strings, good enough for category rules and pivot tables without string surgery.
Typical uses
Expense categorization for a small business that pays by card, reimbursements, spending reviews before applying for financing, and card-fraud audits where a single unknown line matters.
Underwriters and accountants usually want the same three things: a date, a payee, and a signed amount — plus a total they can tie back to the PDF. That is exactly what a per-transaction export should provide.
Convert one statement
Upload the PDF
Digital export from the bank, or a scan of the paper statement. Multi-page statements are handled as one document.
Check the summary rows
Confirm that the "totals" section and the rewards block were recognized as summary information, not as line items.

Download CSV/XLSX. Add your categories in Excel, or import into your bookkeeping tool.
Frequently asked questions
Can I convert a scanned credit card statement?+
Yes. Image pages are OCRed before structuring. Clean, flat scans convert best; phone photos work when the page fills the frame and is evenly lit.
Will payments and refunds be distinguished from purchases?+
They are kept signed and can be split into separate debit and credit columns, so a payment does not read as spending.
Can I convert multiple months at once?+
Yes, but check the boundaries: each statement period restarts its summary. Converting month by month and appending is the safer habit for tax periods.
Does this work for American Express, Chase, Capital One and others?+
The parser works on layout rather than on a bank-specific template, so it is not limited to one issuer. Unusual layouts may need a visual check after conversion.
Is my statement data stored?+
No. The file is processed and shredded; nothing is retained as training data for customer documents.
